The Role

NTT DATA UK is seeking an experienced EA to support the UK Leadership Team. The role will be based in London and will be focused on providing high quality support to the NTT DATA UK Leadership Team with responsibility for day to day personal administrative support and assistance.

As EA and total right hand you will be working in the Executive Office, assisting with business, financial and personal support. This role requires total trust and exceptional organisational skills, diplomacy, confidence and dedication.

The Service Line Leadership EA will support

·         Head of Consulting

·         Head of Digital

·         CTO

The Opportunity

·         Provide diary management for the Leadership Team including working closely with fellow colleagues and other support to organise executive meetings; project meetings; 1:1s with direct reports; as well as departmental away days & meetings

·         Liaise with external clients to arrange meetings either onsite and at an alternative location

·         Book meeting rooms/venues, ordering catering and organising the provision of any equipment necessary

·         Collate reports/papers in advance of meetings

·         Manage the holiday rota of the director as well as their team members’ holiday

·         Manage direct report expenses process

·         Arrange travel and accommodation for business trips in line with company policy

·         Prepare travel itineraries and organise all necessary bookings

·         Sensitive management of confidential, strategic, personal, and business critical information

·         Prioritise, acknowledge and distribute correspondence received as required

·         Where required screen phone calls and listen to voicemails

·         Deal with all internal and external queries and manage effectively

·         Complete research or fact finding as and when required

·         Type minutes as and when required and distribute accordingly

·         Produce and edit PowerPoint presentations to a high standard

·         Compile information for reports including using excel

·         Undertake any specific projects as requested

·         Arrange Executive client events and UK wide conferences in multiple locations

·         Help manage annual employee events i.e. Christmas and Summer parties

·         Flexibility to travel when required

The Person

·         A strong and resourceful problem solver

·         Experience as a Personal/Executive Assistant

·         Excellent communication skills, both written and verbal with a positive demeanour

·         Capable of working under pressure and using own initiative with minimal supervision

·         Able to interface and communicate with executive and senior management across all business functions

·         Excellent planning & organisation skills

·         Ability to handle multiple tasks simultaneously whilst remaining flexible, proactive and efficient

·         Exceptional organisational and administrative skills

·         Ability to work in a collaborative environment, using initiative and establishing deadlines

·         Aptitude for learning and willingness to develop role where required

·         Demonstrate, through words and behaviours, an in-depth understanding and strong personal commitment to your work

·         Enthusiastic and confident to challenge

·         Emotionally intelligent and culturally aware
